Excel workbooks are among the most complex document formats in widespread use. Accurate conversion requires understanding formulas, named ranges, multi-sheet structures, and the differences between output formats.
Why Excel-to-PDF Is More Complex Than Word-to-PDF
Formula Evaluation Before Export
Before any export, LibreOffice Calc re-calculates the entire workbook. This means that formulas using VLOOKUP, SUMIF, array formulas, and financial functions are all resolved to their current values. The exported CSV or PDF always contains computed results, never formula strings β preventing the common problem of CSV files showing =SUM(A1:A10) instead of the actual total.
Multi-Sheet Workbooks and CSV Export
A single XLSX file can contain many worksheets. When exporting to CSV, each sheet becomes a separate CSV file, named after the original sheet name. These files are bundled into a ZIP archive for download. When exporting to PDF, each sheet becomes one or more pages in the PDF, in the same order as the workbook. Hidden sheets are excluded from both outputs.
ODS β The Open Spreadsheet Standard
ODS (OpenDocument Spreadsheet) is the ISO 26300-standardised format for spreadsheet data. It is the native format of LibreOffice Calc and is fully supported by Google Sheets and Apple Numbers. Converting XLSX to ODS is the best choice when collaborators use open-source office tools and need to edit the spreadsheet β not just view it. Most Excel formulas translate directly to LibreOffice equivalents.
Data Types and CSV Encoding
