Word documents are not simple linear documents. They contain complex elements: multi-column layouts, floating text boxes, Track Changes markup, mail merge fields, embedded OLE objects, SmartArt diagrams, and custom XML parts. How LibreOffice Headless Works
LibreOffice in headless mode runs the full Office suite without a graphical display. When invoked with soffice --headless --convert-to pdf document.docx, it opens the document through Writer's complete rendering pipeline — resolving styles, evaluating fields, and laying out pages exactly as the GUI would. The output is then exported via LibreOffice's built-in PDF export filter, which supports PDF/A-1b compliance for archival output.
Font Handling and Embedding
A common PDF problem is font substitution — when the system rendering the PDF does not have the fonts used in the original document, the viewer substitutes a fallback font that may have different metrics, causing text to overflow or reflow. LibreOffice embeds font subsets in the output PDF, ensuring that the document looks correct on any device. Common Microsoft fonts (Times New Roman, Calibri, Arial) are available server-side via the ttf-mscorefonts-installer package.
DOC vs DOCX: Legacy Format Support
The legacy .doc format (Word 97–2003) uses a binary compound document structure (BIFF) rather than the XML-based Office Open XML of .docx. LibreOffice has excellent support for .doc files accumulated over 20 years of compatibility work. Most documents convert cleanly; VBA macros are not executed during conversion and do not affect layout.
PDF/A for Long-Term Archival
PDF/A (ISO 19005) is a subset of the PDF specification designed for long-term document preservation. It prohibits external content references, requires font embedding, and mandates metadata in XMP format. When you enable PDF/A output, LibreOffice applies these restrictions automatically. PDF/A-1b (visual reproducibility) is suitable for most archival use cases including legal, government, and compliance requirements.
